Innodata Inc. and its Affiliates (collectively, the “Company”, “us” or “we”) understand the importance of your privacy. This Privacy Policy describes how we collect, disclose, retain, transfer and otherwise process information, including Personal Information, when you visit our website (www.innodata.com) or other internet properties and subdomains belonging to the Company (collectively the “Websites”), or otherwise interact with us as described in this Privacy Policy. Each time you access or use the Websites or otherwise provide us with your Information, you agree to this Privacy Policy in its entirety.
“Affiliate” means a legal entity that controls, is controlled by, or is under common control with the Company, but only while that control relationship exists; “control” means the direct or indirect ownership or control of 50% or more of the stock or other equity interest entitled to vote for the election of directors or equivalent governing body.
“Information” means all information about you provided or otherwise obtained by us, including Personal Information, through your interaction with us or our Websites.
“Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or can reasonably be linked, directly or indirectly, to a specific natural person. It does not include information that is considered anonymous, de-identified, or aggregated.
INFORMATION WE COLLECT AND HOW WE COLLECT
Active Collection. We collect information that you provide directly to us, such as your name, address, phone number, email address, company or organizational name, job title or role, professional or employment-related information, commercial information, other contact details and payment Information, and the contents of communications you send to us through the Websites. We may collect this information when, for example, we provide you with services, you communicate or interact with us through our Websites or by other means. If you inquire about or pursue a potential customer, supplier, licensing or other commercial relationship with us, you may complete a form on our Websites, and we may collect your name, business email address, telephone number, company or organization name, job title or role, and any other Information you choose to provide regarding you, your organization, or the products, services or data you may make available to Innodata.
Information Collected Automatically. When you visit or interact with our Websites, we and our Service Providers may automatically collect Information about your device and use of the Websites, including IP address, browser type, device identifiers, operating system, referring and exit pages, pages viewed, dates and times of access, approximate location derived from IP address, and information collected through cookies and other similar technologies.
Cookies and Other Tracking Technologies. There are various technologies, including one called “cookies”, which we use to support the functionality of our Websites, gather Information about visitors to our Websites and analyze trends using that Information. A cookie is an element of data that a website can send to your browser which may then be stored on your system. Some cookies are necessary for our Website to function and cannot be switched off. Others may be rejected. WHAT WE DO WITH INFORMATION WE COLLECT
We use Information we collect for the purposes for which it was collected and as otherwise required or permitted by law. These purposes may include providing and supporting our services; administering accounts and subscriptions; personalizing your experience; communicating with you about our products and services where permitted by law; operating, maintaining, securing and improving our Websites, products and services; detecting or preventing fraud or security incidents; conducting analytics, research and statistical analysis; complying with legal, regulatory, contractual and compliance obligations; establishing, exercising or defending legal claims; and carrying out other purposes disclosed to you at the time of collection.
LEGAL BASES FOR PROCESSING IN THE EEA AND UK
Where European Economic Area or UK data protection law applies, we process Personal Information only where we have a lawful basis to do so. Depending on the circumstances, our lawful bases may include: (i) performance of a contract or taking steps at your request before entering into a contract; (ii) our legitimate interests or those of a third party, including operating and securing our Websites, communicating with customers and prospective customers, identifying and evaluating prospective business relationships, developing and improving our business and services, and maintaining business relationships, provided those interests are not overridden by your rights and interests; (iii) compliance with our legal obligations; and (iv) your consent, where consent is required by applicable law. Where we rely on consent, you may withdraw it at any time without affecting the lawfulness of processing conducted before withdrawal.
HOW WE SHARE INFORMATION WE COLLECT
We share your Information with third parties only in the ways that are described in this Privacy Policy, when you provide consent or as otherwise necessary to comply with applicable law. We may share your Information with our Affiliates. We also sometimes hire other companies to provide certain business-related support (“Service Providers”). These Service Providers may have access to your Information if necessary to provide their respective services to us.
We also may disclose your Information: (a) in response to a lawful request by public authorities, such as to comply with a subpoena, or similar legal process, including to meet national security or law enforcement requirements; (b) under a good faith belief that such disclosure is necessary to protect our rights, protect your safety or the safety of others, investigate fraud or respond to a government request; (c) in connection with a corporate sale, merger, reorganization, dissolution or similar event (in this case, personal information may be a part of assets transferred from our company to the acquiring company); and (d) to any third-party as set forth herein or with your prior consent to do so.
LINKS TO OTHER SITES
Our Websites may contain links to other third-party websites. If you submit your Information to any of those sites, your Information is governed by the privacy policy of that site. We are not responsible for the privacy practices or the content of such third-party websites.
PRIVACY AND SECURITY
We have implemented commercially reasonable technical and organizational safeguards to maintain the security of the Information we collect. However, no Internet or e-mail transmission is ever fully secure or error free so please keep this in mind when deciding what Information to share with us.
DATA RETENTION
We will retain your Personal Information while we have a relationship with you or as otherwise reasonably necessary for the purposes for which it was collected or otherwise processed, including to establish, exercise or defend legal claims and to satisfy legal, accounting, contractual and regulatory obligations. In determining the appropriate retention period, we consider the nature and sensitivity of the Personal Information, the purposes for which it is processed, whether those purposes can be achieved through other means, applicable contractual requirements, applicable statutes of limitation, and legal or regulatory retention requirements. We periodically review Personal Information and delete or anonymize it when it is no longer needed, subject to applicable legal requirements.
Information relating to prospective business relationships will be retained for the period reasonably necessary to evaluate and document the potential relationship and, if a relationship is established, for the duration of that relationship and any applicable post-termination retention period.
INTERNATIONAL TRANSFER
The Company operates globally so it may be necessary to transfer your Personal Information internationally. If your Personal Information is transferred from the European Economic Area or the United Kingdom (“UK“) to a country that has not received a decision of adequacy from the European Commission or the United Kingdom, any Personal Information or personal data (as defined under the respective data and privacy protection laws) may be transferred through a lawful transfer mechanism as required, which may include the EU-US Data Privacy Framework (EU-U.S. DPF), the UK Extension to the EU-U.S. DPF, the European Commission approved standard contractual clauses, the UK international data transfer agreement, the UK international data transfer addendum to the European Commission’s standard contractual clauses, or any other valid transfer method, as applicable. Irrespective of which country you reside in or supply Information from, you authorize the Company to use your Information, including Personal Information, in any country where the Company operates. By using the Websites or the services, you consent to your Information being collected, used and transferred as set forth in this Privacy Policy. MINORS
Visitors under 18 years of age are not permitted to use the services /or submit their Information to any Website. We do not knowingly solicit or collect Information from visitors under 18 years of age.
YOUR RIGHTS OVER YOUR PERSONAL INFORMATION
You may have certain rights regarding your Personal Information, subject to local law. For example, under the EU and UK data protection laws, these rights include the right to ask us to delete or erase your Personal Information, the right to ask us to amend or rectify your Personal Information, the right to object to our use of your Personal Information, the right to restrict our processing of your Personal Information, the right of access to your Personal Information, and the right of portability of your Personal Information in a machine-readable format.

SMS COMMUNICATIONS & MESSAGING
If you choose to provide your mobile phone number to Innodata, you consent to receive SMS messages related to business communications such as service notifications, account updates, alerts, and other operational communications associated with your relationship with Innodata.
Mobile phone numbers collected for SMS communications will not be shared with third parties or affiliates for marketing or promotional purposes.
Additional information regarding SMS communications, including message frequency, opt-out instructions, and applicable carrier charges, will be provided at the time of enrollment.
